Real personalization shows that you understand the reader's situation, not just that you know their name. Every example on this page is invented to show a pattern, and none comes with a promised reply rate. What matters is the reasoning, so you can use it on your own emails.

What counts as personalization

Woodpecker's research on cold email draws a clear line: a researched detail tied to a problem is personalization, and a first name or a company name dropped into a template is not. RAIN Group found that buyers rate a researched, one-to-one email above a mail merge.

A study published in Marketing Letters also tested whether a first name in the subject line helps, and did not find that it did. So a name is fine to use, but it is not the part doing the work.

Match it to the reader's level

Gong's research found that the right detail depends on who you are writing to. A senior buyer needs to see a company priority. A name or a hobby with no business challenge attached is not enough for them. For someone closer to the daily work, a detail about their team or their tools can land well.

A name token versus a real detail

Weak: Hi Priya, I help companies like Northline grow.

Better: Hi Priya, I saw Northline is hiring six support agents this quarter.

The weak version would work for any company by swapping the name. The better one shows you looked at what is happening at theirs.

A compliment versus a connection to a problem

Weak: Loved your recent post on leadership!

Better: Your post said new hires take a month to feel useful. That usually traces back to setup, not training.

A compliment alone does not say why you are writing. Tying the detail to a problem gives the reader a reason to reply.

A hobby versus a company priority for a senior reader

Weak: Fellow marathon runner here!

Better: With the Denver office opening, is onboarding speed on your list?

For a senior buyer, a shared hobby is not a business reason. A priority their company already announced is.

Personalized, then a pitch, versus about them throughout

Weak: Congrats on the funding! Our platform has AI reporting and dozens of integrations.

Better: Congrats on the funding. Teams that grow fast after a raise often hit a hiring bottleneck. Is that happening for you?

A personal opener followed by a feature list is still a pitch. Gong's research found short language about the buyer's priority beats a product pitch.

A guess stated as fact versus a guess you can check

Weak: You're clearly struggling with support volume.

Better: When support teams double in a year, response times often slip. Is that true for you?

Telling someone about their own problem can feel presumptuous. Asking lets them confirm or correct you.

Where to find a real detail

Look in places like the ones below, pick one detail, and connect it to a problem you can help with. One good detail beats three shallow ones. This is a writing practice, not a study result.

  • Job posts from their company, which show what is growing.
  • Company news, like a new office, product, or funding.
  • Something they wrote or said in public about their work.
  • A change in their role or team.
